Membership
Rental of the Art Center is a benefit of membership. Individuals or corporations wanting to utilize the Art Center must be current members or joining at the time of contracting the Center.
Exhibitions
Floor plans for exhibitions may be unknown at the time of event contracting; therefore, event layout cannot be guaranteed. The Director of Special Events will make every attempt to provide an idea of the exhibition content and tentative layout.
Hours
All events must end by midnight; clean up and tear down completed by 1am. All events occurring after business hours will be assessed an administrative fee.
Reservations
A reservation will only be considered confirmed when Art Center receives the signed contract, down payment and the terms and conditions. Clients will be expected to come in to sign all documents, unless other arrangements are made.
Payment/Deposits
The Art Center accepts most major credit cards and all checks should be made payable to the Indianapolis Art Center. The down payment of 50% of the rental rate plus damage deposit and membership is required upon contracting. The balance must be paid 30 days before the event. The damage deposit will be refunded within 30 days after the function, as long as no damage occurs or no excessive clean up was needed.
Cancellations/Rescheduling
If an event is cancelled or rescheduled more than 60 days in advance, the Art Center shall retain the Deposit (less the Damage Deposit) as liquidated damages. If cancelled 60 days or fewer prior to the event the Art Center shall retain the Deposit (less the damage deposit) and the balance as liquidated damages. If the balance has not been paid, lessee shall pay the balance on demand. If the Art Center re-lets the premises for the scheduled time and the Balance has been paid, the Art Center shall refund one-half (50%) of the rental rate.
Default
The following shall constitute a "Default" by Lessee under this Contract: (a) failure to abide by terms and conditions of the Contract; (b) failure to present the event as a scheduled (except as provided in Paragraphs 22 and 23 of "Terms and Conditions"); and (c) non-payment of any deposits, charges, or fees when due.
Insurance
Due to the nature of the Art Center and its grounds, a certificate of liability naming the Art Center as an additional insured in the amount of $1,000,000 per occurrence must be provided at least 30 days before your event. Lessee may be able to obtain coverage by (1) purchasing a special events policy, (2) extending Lessee's homeowner's policy to cover the event, or (3) adding a $1,000,000 umbrella to Lessee's existing policy.
Indemnifications
Lessee shall indemnify and hold harmless the Art Center and its officers, directors, agents and employees from and against all losses, damages, claims, costs and expenses arising from injury or death of any person(s), or damage to property resulting from any act or omission of Lessee or its employees, agents, representatives, guests, invitees, or the general public to the extent that such losses, damages, claims, costs and expenses arise in connection with or related to this Contract and Lessee's use of the Premises.
Damages
The Lessee is liable for all damage, expense, and loss, including theft and property loss, caused by any person who attends, participates in, or provides goods and services connected with the lessee's use of the facility and all tangible property. Replacement value may be used by the Art Center to determine the damage cost charged.
Catering
The Art Center supplies an exclusive list of caterers. Lessee must select and retain a caterer from that list. Special considerations are solely up to the Director of Special Events and Rentals.
Event Set-up
Events set-up begins two hours before the event; however, special arrangements can be given on a case-by-case basis if needed. The Director of Special Events must be informed of all decorating plans and all vendors providing services. All flames must be protected with the exception of food warming devices. All decorations must be removed and disposed of properly immediately following the event. No confetti, smoke or bubble machines allowed inside the facility. Use of rose pedals must be cleaned following the event.
Music
All amplified music played or broadcasted outside the building must be terminated by 10 pm, or be moved inside the building. This is due to our neighborhood noise ordinance.
Smoking
Smoking is not permitted anywhere in the Indianapolis Art Center. Smoking is permitted outside on the Seybert Riverfront Portico and must be disposed of in designated containers.
Alcohol
Alcohol is allowed to be served by approved caterers with a copy of their current liquor license and certificate of liability insurance on file. Serving to minors is prohibited. The Art Center does not possess its own liquor license.
Parking
The Art Center has two parking lots available for clients with a combined count of 145 spaces. During semesters guests should first fill the east lot (behind) the Art Center with overflow to the main lot (in front) of the Art Center.
